Best practices for task ownership
Last updated: 7 May 2026
What this does
Use this guide to assign task ownership clearly across Action, Verify, and Accept so work can move without confusion or unnecessary rework.
Current access and functionality
- Verified against the current
impact-web,impact-client, andimpact-marketplacecode on 2026-05-07. - Task setup and broader assignment management are strongest in
impact-web. impact-clientsupports day-to-day assigned task work, checklist completion, comments, evidence, and permitted workflow actions.- Task visibility and actions depend on workspace, project, team, assignment, role, and current workflow stage.
Ownership principles
- Assign one clear owner for each workflow stage whenever possible.
- Use Action for the person producing the work.
- Use Verify for the person checking quality, correctness, or completeness.
- Use Accept for the person confirming the work satisfies the business need.
- Avoid making the same person responsible for every stage unless the task is low-risk.
How to write better tasks
- Start the task name with the outcome, not the activity.
- Put context and constraints in the description.
- Add checklist items that define what “done” means.
- Add evidence requirements where review depends on proof.
- Set realistic durations for each workflow stage.
- Link dependencies when another task must finish first.
Common assignment patterns
- Use Action + Verify for internal work that needs peer review.
- Use Action + Verify + Accept for client, compliance, finance, or high-risk work.
- Use checklist-only tasks for repeatable operational work.
- Use project manager review when ownership is unclear or cross-team.
Common issues
- Issue: Tasks are marked complete but work quality is inconsistent. Fix: Strengthen Verify and Accept ownership and add evidence-based checklist items.
- Issue: Tasks stall between stages. Fix: Confirm the next-stage owner is assigned and notified.
- Issue: Staff cannot update a task in mobile. Fix: Check whether they own the active workflow stage.
